Case Study: Better Time Management for a Busy Mom

Time management for a busy mom.
We’re always helping business professionals stay productive and focused, whether they are the CEO of their company or recently promoted into a new position.  But for those of you that are the CEO of your households, we can help you too!  One of our clients was an incredibly busy mom.  Her two daughters were both in high school and constantly running around between both of their two sports teams.  But since neither could drive yet, our client felt like there wasn’t enough time in the day.  She was using a paper calendar when we started working with her—and she was very organized overall—but wanted some better time management systems to catch her breath.We started off by doing a time map exercise with her, in order to find out where exactly she was spending her time.  We also discussed what her time constraints were, like when she needed to drive each daughter somewhere.  We learned that one of her obstacles was how she was thinking about time; she would block off time on her calendar when her girls were at practice, and wouldn’t plan to use that time for anything else.  So we created an ideal time map for our client, fully utilizing all of her pockets of time.  She printed it and posted it on the fridge to stay on track.

We also recommended that she purchase an iPad so she could utilize an electronic calendar, bringing it with her when she was out and about.  She already had an iPhone, but the screen wasn’t large enough for her to see, so we suggested the iPad.  We also recommended some specific apps for her that would help manage her calendar.

Quick Tips

When downloading an image or file, make sure to save it in a specific folder rather than to your desktop.
Try setting time limits for tasks that easily eat away your day, like responding to email or checking Facebook.
Use unexpected free time wisely – while waiting in line or sitting in traffic, have a list of things you can do then.
If you can respond to an email in 2 minutes or less, tackle it now.
For large, time-consuming tasks, break them down into smaller sub-tasks and spread them out over the day or week.
Create a system for processing business cards you receive. Try delegating the data entry portion of the task to an assistant or intern.
Start prioritizing your tasks to ensure you spend your time and energy doing what is important.
Share part of your inbox with your assistant so you can efficiently delegate email responses to your assistant.
Just because your email comes to your phone, you don’t need to respond immediately. Schedule specific times to check email.
Create a mobile file system to transfer documents safely between your car and office.
