4 Time-Saving Tools for Small Businesses

Small business owners deal with several challenges and frustrations.  Here are some tips and tools to handle some common situations.Challenge: Too many business cards to process
Solution: World Card - Take a picture with your phone of a business card and enter all of its information into your own contact list without having to type all the info!

Challenge: Get caught up trying to schedule appointments (no one else to answer phone)
Solution: Time trade
Solution: Doodle - Create polls so people can vote when planning times and schedules.

Challenge: Accepting credit card payments
Solution: Square - Accept credit cards from anywhere using your cell phone and a small plug-in device (very portable and easy), for just a small fee (2.75% of total).

Challenge: Too many tasks to keep track of
Solution: project management software (like Evernote, OneNote, Zoho Project, Basecamp, Batchbook, Sugar, Microsoft Project).  If you have a lot of tasks, projects, or “hats,” you need a way to keep track of all your to dos. Common features include task reminders, division by projects, lists and sublists, sharing, calendars, Gantt charts, project lead designation, dashboards, and wikis.

Is looking through your home or work files like traveling back to the past?  Are there forms and documents dusty with age and obsolete with time?  Are you still holding onto that one receipt from that purchase back in the 80’s?

Speaking of new gifts in the house, if you got a new phone or iPod this holiday season, the Apple Recycling Program is a great way to responsibly throw out your old devices.  If you send in something still of value, they will mail an Apple gift card back to you!  If the device is simply worn out, Apple will still responsibly recycle it for you.  You can even bring in an old iPod to knock 10% of your purchase of a new one.

Innovative Idea: Make Space in Your Home Post-Holidays by Donating

All of those presents beautifully wrapped under the tree made for one great Christmas with family and friends.  But now, a week later, all of those new items are lingering around the house without their own “home.”  To make space for gifts and presents that came in this holiday season, try taking some things out of the house and to a donation site.  The Innovatively Organized team recently donated diapers, car seats, and clothes to Westside Baby’s Diaper Drive.  It was the perfect organization for us to donate to since not only is Westside Baby one of our clients, whom we helped create a space plan for their donation site, but also two of our organizers recently had children of their own!  

Try going through your home and finding items that no longer have a use for you.  Ask your kids to pick old toys, clothes, or books that they would like to donate to other kids.  Even browse through your pantry for canned food that you can part with.  Donate Seattle is a fantastic resource that helps donors find nonprofit organizations that they are able to help support.  We also have a list of donation sites in the Greater Seattle Area that would love your help this holiday season.  Less clutter in your home and more help for those who need it…it’s a win-win!

When downloading an image or file, make sure to save it in a specific folder rather than to your desktop.
Create a system for processing business cards you receive. Try delegating the data entry portion of the task to an assistant or intern.
Use cloud services as a convenient way to access all your information while you’re on-the-go, through your laptop or your phone.
