Case Study: How a Busy Sales Professional Streamlined His Day

Calendar Invite DO’s and DON’Ts for Outlook & Gmail

1. Naming Calendar Events – If you are going to send a calendar invite to someone you’re meeting with, DO make sure to include both of your names in the title of the event.  For instance, I have received calendar invites from people that are titled, Meeting with Elizabeth Bowman.  Unfortunately, this does not tell me the name of the person I am meeting with.  A more appropriate name would be Meeting with Elizabeth Bowman and John Smith.
2. Sending the Calendar Invite – There are times when you DON’T have to send a calendar invite.  If you have already confirmed the details of a meeting via email, it is not appropriate to send a calendar invite three days later.  The important thing to remember is to not make assumptions.  As you’re scheduling with someone, don’t be afraid to say, “Can you send me the calendar invite to make sure we’re on the same page?”
3. Adding Attachments – Calendar invites can be incredibly helpful for scheduling meetings when a group of people are involved.  DO create a meeting agenda prior to scheduling the meeting and attach the document to the invitation.  This ensures that all attendees have access to the same information and come to the meeting prepared.What other tips to you have for creating meeting invitations?  We would love to hear your comments below!

When Are You Most Productive During the Day?

Are you a “Morning Person” or a “Night Owl”?  Perhaps the real question is: does your schedule complement the times you are most productive?  For some, working in the morning comes naturally because that is when they are most attentive.  For others, burning the midnight oil might make the most sense. Take a moment to consider what time of the day you are the most productive and hardworking.  Are you more alert and focused in the morning, before lunch, early afternoon, or late evening?  Try scheduling your time so that your most important work and tasks are accomplished when you are most productive.  We love this blog post, “Work-Life Balance for Night Owls,” by Cheri Baker of Emergence Consulting.  She details how she shifted her schedule so that she can work efficiently at the time of day when she is most alert.  It might give you some helpful ideas for how you can improve your schedule as well.

A Time Management Tip You Can Implement Today

Where is your mobile device right now?  In this day and age, it seems like our cell phones are often within a one-foot radius of us.  As helpful as mobile devices are, they also have the potential to distract us and waste time.  Between phone calls, text messages, and pop-up notifications, wasted seconds quickly turn into wasted minutes.
You’re in luck because our team has a quick time management tip that you can implement immediately.  It sounds simple, but try setting aside time to silence your phone and store it out of your eyesight.  When you cannot hear or see notifications on your phone, your mind is able to truly focus on the task at hand and produce better work.  
Try this trick for 30 minutes a day and see how it improves your ability to focus. You can take it a step further and try turning off all of the notifications on your computer too!

Organizing Notebooks with Sticky Tab Dividers

How to Stay Productive While Waiting

It’s distracting hearing your phone buzz. Block off time to truly focus; shut the door, silence your phone, close your email.
To reduce digital clutter, unsubscribe to email newsletters you don’t read.
Create a system for processing business cards you receive. Try delegating the data entry portion of the task to an assistant or intern.

For each task on your to-do list, add its estimated completion time. This gives you a realistic view of everything on your plate for the day.
Schedule a time/date to file and clean your files (weekly or bi-monthly).
