Elizabeth’s Favorite Things: “Distraction Free” Writing Programs

this entry has 0 Comments/ in Individual Productivity, Time Management / by Innovatively Organized
July 31, 2012

Sometimes it takes a little more than focus to stay productive.  When it comes to writing, how often are you lured away from your task by distractions on your computer?  A pop-up just notified you of a new email that came in, and your song on YouTube just finished so now you have to find another song, and maybe you’ll just check Facebook really quickly while you’re online…

Eliminate all of these tempting interruptions with “Distraction Free” writing programs—applications that block out all visual and audio distractions while you write.  Here are three options you might want to try:

ByWord

  • Syncs all devices with iCloud and Dropbox
  • Export and print
  • TextExpander integration
  • Cons: limited font choices; no support for Word Document file types

WriteRoom

  • Simplified interface
  • Syncs with Dropbox
  • Customizable font and background colors
  • Cons: limited font choices; only supports .txt files

iA Writer

  • Simplified interface
  • Syncs all devices with iCloud and Dropbox
  • Focus Mode to concentrate on certain text
  • Cons: font not customizable/resizable; only supports .txt files

Packing Tips From an Expert Organizer

July 27, 2012

As you saw in our previous blog this month, Elizabeth Bowman is an expert at traveling.  For those of you accustomed to throwing clothes into a suitcase hours before your trip, here are some great packing tips to help you out!

What are your best tips for traveling?

  • Ensure that you have travel size shampoo/conditioner/etc. for your 3-oz. bag going through security.  It’s better to bring multiple small bottles than one larger one because you can throw them out once empty, making your load lighter.
  • Pack extra Ziploc bags, in case anything gets wet or damaged.
  • Never worry about packing your hair dryer—every hotel in the world has one.  But I love hot appliance bags so I can pack my straightener/curler while it’s still hot!
  • If traveling internationally, make sure you have power adapters.
  • I love using Grid-it organizers for holding all of my chargers.
  • Bring a virtual notebook with all of your travel info—rental car confirmation, flight and hotel information, pre-booked activities, and any tourist stuff you want to do.
  • No matter the length of your trip, always unpack your suitcase!  Living out of it makes you feel disorganized (especially for me, since everything is packed so tightly in my carry-on).  Even on a 2 night stay, I unpack my bag.

Choosing Tablet Accessories to Improve Productivity and Organization

July 25, 2012
Looking for products and accessories for your iPad or tablet?  Certain accessories can dramatically improve your productivity and save time, plus relieve stress with their ease of use.  Of course it depends on how you are using your tablet, but here are some of the basic features to consider when choosing accessories.Stylus
Makes taking notes easier and using your tablet faster.  We really like this option from BoxWave.

Covers
Serve several purposes, including protection, extra features, and portability.  Here are some features we love:
  • Built-in keyboard (will you use this enough to want a keyboard built-in?)
  • Magnetic automatic wake-up feature
  • Prop positions – some are simple (1 to 2), and other cases have multiple views and angles
  • Strap/handle – carry your device like a bag
  • Extra pockets for paper or cards – ability to use your tablet like a notebook

External keyboard (wireless)
Great for when you want to be able to type on the keyboard occasionally, but prefer your cover to have different features
.

External stand or charging station

Plug-in for photo memory cards
A great tip while traveling is to dump your photos each night onto your tablet to create more space on your memory card for the next day.

What are your thoughts?  Which accessories or features help improve your productivity?

The “Dream Nursery Makeover Giveaway” is Complete!

July 24, 2012
Natalya Stansfield was chosen as the winner of the ParentMap “Dream Nursery Makeover Giveaway,” earning her newly born daughter the ultimate nursery.  She won an amazing $3,000 package of services and products to help transform a spare bedroom in her home into an adorable nursery.  Last week, the finishing touches were added to the in-progress nursery and now Baby Camila has a beautiful new nursery to call home!

The nursery makeover began with our team heading over to Natalya’s home to look at the available space and get to know the family’s needs.  Our Organizing Consultant and Space Planner, Alisa Hanft, designed a custom space plan for Camila’s nursery, including product recommendations and color scheme suggestions.  Next, our Organizing and Productivity Consultant, Jackie Chapman, went shopping for new products while coordinating with the other contest vendors.Last week, Organized Spaces installed the custom closet and placed new wall shelves in the nursery.  Our organizers with Innovatively Organized brought the new products and set up the new nursery’s layout.  They set up the new products from Storables, including mesh bins, a brown bin for Camila’s changing table, under crib storage bins, and a brown shelf.  They also organized the items donated by ParentMap, including new bedding, a floor lamp, and a curtain for Camila’s nursery.  Finally, they hung the adorable one-of-a-kind wall art featuring Camila’s name, created by Michelle Doran Creative Services.

Natalya and her family loved the finished nursery makeover.  She loved the custom artwork of her daughter’s name, and even one of her sons was bouncing around excitedly in the new room.  Baby Camila was looking around everywhere at her brand new nursery!  Being organized in this new nursery will now help the entire family, especially with all of the demands of having a little baby in the home.  Plus, the custom closet was designed to grow with Camila as she gets older; the different bins and compartments can be re-arranged as she gets taller.  Welcome home, Camila!  We had a pleasure making over your new nursery.  And thank you again to the other contest vendors—ParentMap, Storables, Organized Spaces, and Michelle Doran Creative Services.

Elizabeth Bowman on King5 News Discussing Microsoft Announcement

this entry has 0 Comments/ in Individual Productivity, Innovatively Organized News, Process Improvement / by Innovatively Organized
July 23, 2012
“This is shaping up to be the most productive year yet.”

Steve Ballmer’s words were music to our ears. In case you missed the huge news, Steve Ballmer announced the new Microsoft Office last Monday and we are thrilled about the latest features!  As productivity consultants, our number one goal is to save people time and help them be more productive, so we are incredibly excited about the changes Microsoft will be implementing.  Elizabeth Bowman’s initial thoughts on Microsoft’s press conference were featured on KING 5 News at 5:00 PM on Monday.  Watch the clip now to see her thoughts on the changes! To keep you up to speed, here are our top 4 highlights from the press conference:

1. The myth of “going paperless” is a reality.
For years, we’ve helped people go as paperless as possible and Office 2013 takes “going paperless” to a whole new level.  Long gone are the days of printing out documents before a meeting and making notes with a pen.  Now the new inking features allow you to effortlessly write, draw and erase with the touch of a finger or mouse.

2. Working on-the-go isn’t just for businesses anymore.
Many businesses are already seeing the benefits of using Office 365 to get things done quickly and efficiently.  Now you can experience the same features for your personal productivity using the new Office 2013 to organize pretty much anything.  For example, you can organize your recipes, travel plans, tasks, schoolwork and much more!

3. Collaborate and share information with your team more efficiently.
As Steve Ballmer mentioned, we live in the world of the “modern office” where more and more teams are collaborating virtually for projects and meetings.  Microsoft Office 2013 encourages teams to edit items simultaneously with a few clicks of a button and collaborate on changes.

4. Stay connected while working mobile.
The vast majority of us have multiple devices to sync.  From work computers to mobile phones to family computers, we want to have access to the same information on every device.  SkyDrive and SharePoint have been around for some time, but now Office 2013 automatically saves documents, notes and personal settings to the cloud so you can access them on-the-go.

What are your thoughts on the Microsoft announcement?  Which features are you most excited about?  We want to hear your thoughts on the recent developments and how you hope to become more productive!

“Dream Nursery Makeover Giveaway” In Progress!

July 20, 2012
The winner of the ParentMap “Dream Nursery Makeover Giveaway” has been chosen and we’ve been hard at work!  Throughout May and June, we worked with ParentMap to find a winner for the “Dream Nursery Makeover Giveaway,” in order to help create the ultimate nursery for one lucky Seattle baby!

Natalya Stansfield was announced as the winner of this amazing $3,000 package of services and products!  In addition to organizing and space planning services by us, Innovatively Organized, Natalya won:
  • A custom closet solution and installation by Organized Spaces
  • Organizing bins and products from Storables
  • A one-of-a-kind piece of wall art featuring her baby’s name, created by Michelle Doran Creative Services
Natalya and her husband recently welcomed their baby girl, Camila, to the family in April.  None of their children have ever had a dedicated nursery, so we are making over a spare bedroom in their home to become Camila’s nursery!

To begin with, we had a consultation with Natalya and toured her space in order to begin coordinating the makeover.  Our space planning expert, Alisa Hanft, designed a space plan for Camila’s new room, taking into consideration new products as well as items the family already owned.  Meanwhile, our organizing and productivity consultant, Jackie Chapman, has been shopping for new products and coordinating with the other giveaway vendors.

The nursery is coming along wonderfully and we are excited to set everything up this week!  Stay tuned for the completed project in the next week or so!

Save Time and Money at the Grocery Store

July 19, 2012
Today’s blog is a guest post from Laura Taylor, owner of Honest to Goodness, a kitchen concierge who services the greater Seattle area.  She will help you with menu planning, in-home meal preparation, grocery shopping, party planning, and more.

People hate grocery shopping for a number of reasons, including not having enough time.  In order to get in, get out, and get on with your day, follow these simple tactics to save time and money:

  1. Develop a meal plan and corresponding grocery list for the week before you get to the store.  Having a plan of action will keep you on track and minimize the “what’s for dinner?” stress.
  2. Use a hand basket or the small shopping cart.  You’ll be less inclined to impulse buy on more items when you have less space to fill.
  3. Shop primarily on the perimeter of the store.  Michael Pollan’s Food Rules book provides guidance on choosing real food, most of which is not found in the aisles.
  4. Buy in bulk or stock up on non-perishable items when they’re on a good sale.  Having your favorite items in good supply at home means fewer trips to the store.
  5. Use the self-checkout lanes.
  6. Shop in the morning or late evening to avoid crowds.
You’ll notice that coupons are not listed as a money-saving tactic.  Even though it’s possible to save a few bucks with them, I don’t clip coupons anymore.  Here’s why: the bulk of my grocery purchases are fruits, vegetables, lean proteins, and whole grains.  None of these items are coupon-worthy, and I’m okay with that, as are my wallet and my waistline.

Honest to Goodness has an exclusive offer for Innovatively Organized clients: a List of Pantry Staples to get you on track with the foundations for healthy eating and snacking.  Email Laura to get your copy today! For more pantry organizing tips, check out the Innovatively Organized blog.

Quick Tips

Use cloud services as a convenient way to access all your information while you’re on-the-go, through your laptop or your phone.
When downloading an image or file, make sure to save it in a specific folder rather than to your desktop.
When someone gives you a business card, make notes on the back to jog your memory later. Notes might include when you met, what you discussed, potential relationship, etc.
Share part of your inbox with your assistant so you can efficiently delegate email responses to your assistant.
Just because your email comes to your phone, you don’t need to respond immediately. Schedule specific times to check email.
Schedule a time/date to file and clean your files (weekly or bi-monthly).
When organizing your paper files, avoid labels like “miscellaneous” and “random.”  You’ll encounter difficulties finding them later.
Start prioritizing your tasks to ensure you spend your time and energy doing what is important.
To reduce digital clutter, unsubscribe to email newsletters you don’t read.
Create a system for processing business cards you receive. Try delegating the data entry portion of the task to an assistant or intern.
