Hi-Tech Organizing for Contact Management

We all know how important it is to have information at our fingertips, especially when we’re networking or following up with clients or colleagues.  One of the most effective tools for contact management that I recommend to Innovatively Organized clients is gwabbit®.

This add-in, or plug-in, for Microsoft Outlook “automatically scans incoming Outlook emails, finds contacts, and instantly transforms them into contact records within your address book” and “even checks your address book to see if you’ve already saved a contact previously.” And it works on the Blackberry platform as well.

With gwabbit®, you can increase your productivity by spending less time searching for contact information and more time actually talking to them.

Over-the-Door Organizing Solution

If you have limited counter space in the bathroom, or maybe you’re sharing a space with roommates or family members, try an organizing solution that you usually see in closets – the over-the-door shoe bag.  It works great for holding bottles of hair products, brushes, washcloths, and soap. There are even ones especially designed to expand your “work area” in the bathroom like the one above with a mirror and hooks to hold a curling iron and dryer.

Learning How to Live Clutter-Free Starts Young

We live in an age of “consumerism.”  It’s a society based on the systematic creation and fostering of a desire to purchase goods and services in ever greater amounts.  Unfortunately, giving in to whim every time you want something is one of the leading contributors to a cluttered life.

Recently, I was talking with a friend about how kids today seem to have more and more toys, games, dolls, and clothes.  It reminded us of a great children’s book, “The Berenstein Bears Get the Gimmes.”  The moral of the story is to appreciate what you have instead of asking for more.  I remember reading this when I was little, and as a professional organizer, I can say it definitely made a positive impression on me!

Quick Tips

For large, time-consuming tasks, break them down into smaller sub-tasks and spread them out over the day or week.
When downloading an image or file, make sure to save it in a specific folder rather than to your desktop.
I loved your presentation of Email Organizing 101. The presentation was clear and informative, and you offered wonderful tips to make our busy lives easier. I already implemented some of your recommendations, and have no remaining emails at the end of the day in my inbox. Also, you have a great sense of humor, so like everyone else, I truly enjoyed my time there. Time and money well-spent.Jennifer S., Merrill Lynch
When organizing your paper files, avoid labels like “miscellaneous” and “random.”  You’ll encounter difficulties finding them later.
Just because your email comes to your phone, you don’t need to respond immediately. Schedule specific times to check email.
Create a set of email policies for your small business so everyone’s on the same page when it comes to writing and sending emails.
For each task on your to-do list, add its estimated completion time. This gives you a realistic view of everything on your plate for the day.
Use unexpected free time wisely – while waiting in line or sitting in traffic, have a list of things you can do then.
Start prioritizing your tasks to ensure you spend your time and energy doing what is important.
I am able to accomplish more, in less time. When I work in my home office, I’m not distracted by piles of paper all around me. I am able to proudly show off my work space now! Angela Shen
